Shared access
Give staff access without opening every record
Team data collection works best when staff can reach the records their role requires without opening unrelated records. TallyFlex Teams separates organization roles from client-level access, so supervision, editing, collection, and viewing stay clear.
Admins manage staff. Supervisors can oversee and edit assigned work. Therapists collect on assigned clients or students. Client-level access decides which records each person can see.

Access control
Two permission layers
Staff role
One owner controls the organization. Staff are assigned one of three roles.
Admin
Manage staff and organization setup
Supervisor
Oversee cases and edit assigned programs
Therapist
Collect data for assigned clients or students
Assigned record access
Record access narrows what each staff member can do for each client or student.
Workflow
Access that follows responsibility
Permissions are part of the workflow when more than one person collects or reviews data.
Invite staff with the role that matches their responsibility: Admin, Supervisor, or Therapist.
Assign client or student access only where that staff member needs it.
Keep collection, editing, supervision, and viewing separated by role and record access.
Change access or transfer case supervision when responsibilities move.
Why it matters
Designed for data you can actually review
Separate team role from record access
A staff role sets the broad boundary; client access decides which records are available.
Match access to the job
Give RBTs or paraprofessionals Tracker access while supervisors retain editing and case oversight.
Adjust as teams change
Grant or revoke access, change access levels, or transfer case supervision as staffing and supervision responsibilities shift.
